Job Description

Bilingual Administrative Assistant

We are looking for an organized and reliable Bilingual Administrative Assistant to join our team in Dorchester, Massachusetts. In this role, you will provide essential administrative support for property management operations, ensuring smooth communication and efficient handling of tenant inquiries. This is a long-term contract position that offers the opportunity to work in the dynamic real estate and facilities management industry.

Responsibilities:

  • Manage office filing systems and organize documentation to ensure easy access.
  • Input work orders into the Yardi system and follow up on their progress.
  • Communicate updates to tenants regarding the status of ongoing projects or issues.
  • Provide administrative support to the Property Manager, including scheduling and correspondence.
  • Assess tenant eligibility by collecting necessary information such as income and other required documentation.
  • Process maintenance work orders and coordinate with vendors to ensure timely completion.
  • Maintain effective relationships with vendors and external service providers.
  • Handle incoming calls using a multi-line phone system and direct them appropriately.
  • Assist with processing tenant applications and other administrative tasks.
  • Ensure the office operates efficiently by managing supplies and coordinating daily activities.

Requirements:

  • Proficiency in handling receptionist duties, including managing multi-line phone systems.
  • Strong organizational skills and attention to detail for maintaining office files.
  • Experience with property management software, such as Yardi, is preferred.
  • Ability to communicate effectively with tenants and vendors, both verbally and in writing.
  • Bilingual fluency in English and another language to assist diverse clientele.
  • Familiarity with processing applications and assessing eligibility based on provided information.
  • Comfortable working in a fast-paced environment with the ability to prioritize multiple tasks.
  • Previous experience in administrative roles within the real estate or facilities management industry is a plus.
